Mass Transfer

1. Overview

The Mass Transfer action is a bulk administration tool designed to move the ownership of asset inventory. It is distinct from the standard single-asset transfer used for end-users.

Primary Use Cases:

  • Administrative Handover: Transferring Asset Units from a departing Asset Admin to a new Admin.
  • Data Correction: Reassigning assets that were bulk-imported with “Dummy” or “Generic” owners during system implementation.
  • Maintenance Handoff: Moving batches of damaged assets to a repair vendor or technician.

2. Business Logic & Validation

To ensure data integrity, the system validates the Status of every selected asset. It automatically sorts your selection into Included (eligible) and Excluded (ineligible) groups.

3. Step-by-Step Procedure

Phase 1: Filtering and Selection

  1. Navigate to the Assets Units list view.
  2. Filter the list to locate the assets (e.g., Assigned To = Old Admin Name).
  3. Select the checkboxes for the assets you wish to transfer.
  4. Click the Action Mass Asset Transfer.

Phase 2: The Transfer Preview (Validation Tables)

A modal window will appear displaying two separate tables. You must review these before proceeding.

Table A: Included to Transfer Asset Units

  • Description: Lists all assets that passed validation.
  • Columns: Asset Unit, Status.
  • Action: Verify this list matches the inventory you are handing over.

Table B: Excluded Asset Units

  • Description: Lists assets that failed validation. These items will be skipped.
  • Columns: Asset Unit, Status (showing why it was excluded, e.g., “In Use”).
  • Action: No action required; the system automatically drops them from the transaction. You can address these records individually later.

Phase 3: Execution

  1. New Owner: On the top of window, search and select the user taking custody (e.g., the New Asset Admin).
  2. Confirm: Click the Transfer button.

4. Troubleshooting

  • Why is my asset in the “Excluded” table?
    If an asset is “In Use,” it implies an active employee is using it. Mass Transfer is for inventory only. To move an “In Use” asset, open that specific asset record and use the individual transfer process.
  • Permission Denied:
    Ensure you have the Asset Admin permission set assigned . General users cannot perform mass transfers.
