Asset Mass Clone

Overview

The Asset Mass Clone feature is designed to accelerate the onboarding of bulk equipment. It enables users to duplicate a single “Source” asset to create up to 100 identical Asset Units in a single action.

Instead of manually creating individual records for identical hardware (e.g., a batch of 50 new laptops), you can configure one record and replicate it instantly, ensuring data consistency and saving significant administrative time.

Key Capabilities

  • High Volume Processing: Clone up to 100 asset records in a single click.
  • Deep Cloning: Automatically duplicates all Asset properties (e.g., Model, Manufacturer, Status, Location) from the source asset.
  • Category Integrity: Preserves Category connections (e.g., Hardware > Laptops > MacBooks), ensuring new assets are classified correctly without manual re-entry.

Common Use Case

Scenario: Procurement has just received a shipment of 50 identical monitors.

  1. Create one “Master” Asset Unit record for the first monitor, filling in all shared details (Brand, Model, Purchase Date, Warranty Info).
  2. Use Mass Clone to generate 49 copies of that master record.
  3. Update only the unique fields (like Serial Number) later via list view or scanning, rather than building every record from scratch.

Step-by-Step Instructions

1. Prepare the Source Asset

Navigate to the Asset Units tab and open the record you wish to use as your template. Ensure all “shared” data fields are accurate, as these will be copied to all new records.

2. Launch Mass Clone

  • On the Asset Unit record page, locate the action menu (top right).
  • Click the Mass Clone button.
    • (Note: If the button is not visible, check the dropdown arrow ▼ for additional actions).

3. Configure & Confirm

  • A modal window will appear.
  • Quantity: Enter the number of clones you wish to create (Maximum: 100).
  • Asset Owner: Select the asset owner for the cloned assets.
  • Review: Verify that the source information is correct.

4. Execute

  • Click Clone.
  • The system will process the batch. Upon completion, a success message will appear confirming the number of assets created.

Notes & Limitations

  • Serial Numbers: Because Serial Numbers must be unique to every physical device, the Mass Clone tool does not clone the Serial Number field. These must be entered individually after creation.
  • Limit: The maximum number of clones per action is 100. To create 500 assets, simply repeat the process 5 times.
  • Status: Cloned assets will have the Status “New”
